Position Summary

The Epic Project Intake Coordinator serves as the front door for all incoming Epic build, enhancement, and support requests across the organization's Epic modules. This role owns the intake process end-to-end — logging, triaging, prioritizing, and routing requests to the appropriate Epic application teams — while ensuring requests are properly scoped, documented, and aligned with governance standards before entering the build pipeline.

Key Responsibilities

  • Serve as the single point of contact for new Epic project and enhancement requests from clinical, operational, and administrative stakeholders
  • Manage the intake queue/ticketing system, ensuring requests include sufficient detail (business justification, scope, impacted workflows, requested timeline) before advancing
  • Triage and prioritize incoming requests in partnership with Epic application managers and governance committees
  • Route requests to the correct Epic team based on module and complexity
  • Maintain and report on intake metrics: volume, turnaround time, backlog aging, and approval/denial rates
  • Coordinate intake governance meetings, prepare agendas, and track decisions and action items
  • Partner with project management to hand off approved requests into active project status
  • Track request status and provide regular updates to requestors and leadership
  • Identify trends in requests to inform roadmap planning and capacity forecasting
  • Maintain intake documentation, templates, and standard operating procedures
  • Support continuous improvement of the intake process, including tooling

Required Qualifications

  • 4+ years of experience in healthcare IT, project coordination, or Epic-related support
  • Familiarity with Epic application structure and terminology (module names, build lifecycle, governance concepts)
  • Strong organizational skills with experience managing queues, tickets, or intake pipelines
  • Excellent written and verbal communication skills; comfortable interfacing with clinical and technical stakeholders
  • Proficiency with ticketing/PM tools (ServiceNow, Smartsheet, Planview, Jira, or similar)

Preferred Qualifications

  • Epic certification(s) or prior Epic build/analyst experience
  • Experience supporting IT governance or demand management processes
  • Background in a hospital, health system, or ACO/population health IT environment

Key Competencies

  • Detail-oriented with strong follow-through
  • Able to balance competing priorities from multiple stakeholder groups
  • Comfortable asking clarifying questions to properly scope ambiguous requests
  • Diplomatic communicator who can say "not yet" or "no" constructively

Pay Range

The typical pay range for this role is:

$106,605.00 - $284,280.00


This pay range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls. The actual base salary offer will depend on a variety of factors including experience, education, geography and other relevant factors. This position is eligible for a CVS Health bonus, commission or short-term incentive program in addition to the base pay range listed above. This position also includes an award target in the company’s equity award program.
