We are seeking a detail-oriented Virtual Bookkeeper to join our team. Our organization uses a combination of specialized software including our proprietary system, QuickBooks Online, Stripe, and Freshdesk to manage our financial operations and customer service.
Role Overview
The ideal candidate will manage daily bookkeeping tasks, handle customer billing inquiries, and maintain accurate financial records while providing excellent customer service support.
Key Responsibilities
Financial Operations & Bookkeeping
- Process and reconcile payments through Stripe and our proprietary system.
- Manage accounts receivable, including following up on past due payments
- Reconcile bank statements and credit cards in QuickBooks Online
- Process and record bills in QuickBooks
- Generate and analyze financial reports including P&L and Balance Sheets
- Handle payment-related customer service tickets
- Process refunds and manage billing disputes
- Monitor and update memorized transactions
- Process payroll.
Customer Service & Administrative Tasks
- Respond to customer billing inquiries through Freshdesk
- Process Scheduling and change requests.
- Handle referral programs and commission tracking
- Generate and send customer invoices
Audit & Compliance
- Conduct regular billing audits
- Review and verify wage reports
- Monitor branch metrics and subject metrics
- Maintain accurate pricing plans
- Track and process sales commissions
Required Skills & Qualifications
- Bachelor's degree in Accounting, Finance, or related field
- Minimum 2 years of bookkeeping or accounting experience
- Strong proficiency in QuickBooks Online
- Excellent English communication skills (written and verbal)
- Strong customer service orientation
- High attention to detail and accuracy
- Ability to work independently and manage multiple deadlines

- Computer with updated operating system

- QuickBooks Online
- Stripe Payment Processing
- Freshdesk or similar customer service platforms
- Google Workspace (Sheets, Docs, Drive)
- Willing and able to learn our proprietary system quickly
Schedule
- Must be available during US business hours
- Regular monitoring of daily, weekly, and monthly tasks required
